Definitions

Order ConfirmationThe confirmation email generated by our campaign builder and timestamped by our system at the point of confirmed payment.
ProductionThe process of printing your coasters, which commences 48 hours after the Order Confirmation timestamp.
Monthly Billing DateThe same calendar day each month as your original Order Confirmation date, or the last business day of the month where that date does not exist.
Minimum TermThe minimum three-month commitment period that applies to all monthly rolling campaigns, commencing from the date of your Order Confirmation.
Placement ArrangedThe point at which venues have been scheduled for your campaign and a placement confirmation email has been sent to you.

1. Who We Are

Tabletop Media is a trading name of Rivium Ltd, a company registered in England and Wales. "We", "us", or "our" means Rivium Ltd trading as Tabletop Media. "You" or "your" means the person or business placing a campaign order.

2. What We Provide

We supply QR-tracked coaster advertising campaigns, including printing coasters to your specification, distributing them to venues within our UK network, providing a unique QR code per campaign that tracks scan engagement, and delivering campaign metrics to you by email.

3. Placing an Order

3.1 Orders are placed via our campaign builder at tabletopmedia.co.uk/launch.

3.2 By submitting an order request, you are making an offer to purchase. Your order is not confirmed until you receive an Order Confirmation email. If you do not receive a confirmation email within 24 hours of submitting your order, contact hello@tabletopmedia.co.uk immediately.

3.3 We reserve the right to decline any order at our discretion, in which case any payment taken will be refunded in full.

3.4 You must be 18 or over and acting on behalf of a legitimate business to place an order.

4. Pricing and Payment

4.1 All prices shown on our website are exclusive of VAT unless otherwise stated.

4.2 Payment is required in full at the point of Order Confirmation. Production will not begin until payment has been received and your Order Confirmation has been issued.

4.3 The price applicable to your order is the price confirmed in your Order Confirmation email.

4.4 Payments are processed securely via Stripe. We do not store your payment details.

5. Cancellation Policy

How to cancelEmail hello@tabletopmedia.co.uk with your order reference and the subject line "Cancellation Request". We will acknowledge your request within 24 hours and confirm whether cancellation is possible.

5.1 You may cancel your order at any time before Production begins.

5.2 Production begins 48 hours after the timestamp on your Order Confirmation email. This window starts from the moment that email is sent by our system, regardless of when you open it.

5.3 Once Production has begun, cancellation is not possible and no refund will be issued.

5.4 If you believe Production has begun in error or before the 48-hour window has elapsed, contact us immediately at hello@tabletopmedia.co.uk with your order reference.

6. Monthly Campaigns

6.1 Monthly rolling campaigns are subject to a Minimum Term of three consecutive months, commencing from the date of your Order Confirmation.

6.2 You may not cancel a monthly campaign before the Minimum Term has elapsed. Cancellation requests submitted before the end of the Minimum Term will not be actioned. Any months remaining within the Minimum Term at the point of an early cancellation request may be invoiced in full.

6.3 After the Minimum Term, you may cancel at any time by emailing hello@tabletopmedia.co.uk with the subject line "Cancellation Request". To avoid being charged for the following month, your request must be received at least 7 days before your next Monthly Billing Date.

6.4 Monthly billing occurs on the same calendar day each month as your original Order Confirmation date. Where that date does not exist in a given month, billing will occur on the last business day of that month.

6.5 Payments already taken for a monthly run that has entered Production are non-refundable. Billing is not prorated.

7. Targeted Distribution

7.1 The targeted distribution add-on (£500 fixed fee) allows you to specify preferred venues, areas, or venue types for coaster placement.

7.2 While we will make every reasonable effort to fulfil your targeting preferences, we cannot guarantee placement in specific venues.

7.3 The targeted distribution fee is non-refundable once Placement has been Arranged. You will receive a placement confirmation email; the timestamp on that email is the effective date of non-refundability.

8. Your Responsibilities

8.1 You are responsible for ensuring that the destination URL provided for your QR code is accurate, live, and appropriate at the time of your campaign.

8.2 You must ensure that any content your QR code directs to complies with all applicable laws and regulations, including UK advertising standards (CAP Code).

8.3 You warrant that you own or have a valid licence for all materials and creative content associated with your campaign, and grant us a non-exclusive licence to copy, print, reproduce, and modify supplied materials as necessary for production, including colour profile and trim/bleed adjustments.

8.4 We reserve the right to refuse or remove campaigns that direct to content we deem illegal, harmful, misleading, or inappropriate, without refund.

9. Campaign Metrics

9.1 Campaign scan data is tracked via unique QR codes and delivered to you by email.

9.2 Metrics are provided in good faith. We do not guarantee any minimum number of scans, impressions, or conversions.

10. Intellectual Property

10.1 All Tabletop Media branding, website content, and coaster designs remain the intellectual property of Rivium Ltd.

10.2 By placing an order, you grant us a non-exclusive licence to use your destination URL and campaign-related materials solely for the purpose of fulfilling your order.

11. Limitation of Liability

11.1 We will not be liable for any indirect, consequential, or loss of profit arising from your use of our services.

11.2 Subject to clause 11.3 and applicable mandatory law (including consumer rights and data protection obligations), our total aggregate liability shall not exceed the total amount paid by you for the specific order giving rise to the claim.

11.3 Nothing in these terms limits our liability for death or personal injury caused by negligence, fraud, fraudulent misrepresentation, or any other matter that cannot be excluded or limited by English law. Statutory rights are not affected.

12. Governing Law

These terms are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.

13. Changes to These Terms

We may update these terms from time to time. The current version will always be published at tabletopmedia.co.uk/terms. We will notify existing customers of any material changes by email.
